Trail Hub Event Policy

Welcome to Trail Hub, the premier destination for outdoor enthusiasts in the Greater Toronto Area. Our Event Policy is designed to ensure a safe, enjoyable, and sustainable environment for all our guests, staff, and the natural surroundings we all cherish. This policy applies to all events held at Trail Hub, including corporate gatherings, private weddings, and public events.
1. Booking and Cancellation
- Event Booking: All events must be booked directly through our events team. A non-refundable deposit is required to secure the event date.
- Cancellation: Cancellation policies vary based on event type and are often outlined in each contract. Please refer to your specific event contract.
2. Event Planning and Coordination
- Event Coordinator: Trail Hub will provide an Event Specialist on a case-by-case basis to assist with planning and logistics. The Event Specialist often must approve all event details.
- Outside Vendors: Any outside vendors (caterers, decorators, etc.) must be approved by Trail Hub. Vendors must comply with all site rules and regulations, including environmental and proof of insurance policies.
3. Environmental Policy
- Sustainability: Events at Trail Hub must adhere to our sustainability and environmental policies. This includes waste management, minimizing environmental impact, and respecting wildlife and natural habitats.
- Decorations: All decorations are preferred to be eco-friendly and ethically sourced and approved by the event coordinator.
4. Safety and Conduct
- Safety: The safety of guests, staff, and the environment is our top priority. Event organizers must follow all safety guidelines provided by Trail Hub, including fire safety, emergency procedures, and activity-specific safety measures.
- Conduct: Guests and event organizers are expected to conduct themselves responsibly and with respect for others and the environment. Trail Hub reserves the right to remove any individual or group not adhering to these standards.
5. Liability and Insurance
- Liability: Event organizers are responsible for the conduct of their guests and any damage to Trail Hub property or equipment. A security deposit may be required to cover potential damages.
- Insurance: Event organizers, contractors and vendors, often must provide proof of event liability insurance covering injuries, damages, and other liabilities.
6. Alcohol and Food Policy
- Alcohol: If alcohol is to be served at the event, it must be done so in compliance with local laws and regulations. Trail Hub reserves the right to terminate alcohol service if necessary to ensure guest safety. Trail Hub also enforces a no-outside alcohol policy in any circumstances.
- Food: All food service must comply with health and safety regulations. Trail Hub offers catering options.
7. Accessibility
Trail Hub is committed to providing an inclusive and accessible environment for all guests. Please inform us of any accessibility needs or accommodations required for your event.
8. Changes to Event Policy
Trail Hub reserves the right to update or modify this Event Policy at any time without prior notice. Event organizers and attendees will be subject to the most current version of the policy.
